How do I get my grades?

Students may obtain their grades at the end of each term online at My.Southwest or by calling the telephone information system (TRAVIS) at telephone number is (901) 333-4REG or (901) 333-4734. Students may also request a printed copy of term grades by contacting the Admissions, Records and Recruitment Office at (901) 333-5924.

How do I get my transcripts?
________________________________________________________________________
Students who attended Shelby State Community College, State Technical Institute at Memphis or Southwest Tennessee Community College, may request a copy of the permanent records (transcript) by sending a written request to the Admissions, Records and Recruitment Office. The request must include the student’s name, social security number or student identification number and signature. Additionally, the student must include the name and address of the person or agency to which the record is to be sent.

A log of where and when academic records were sent will be maintained on the College’s computerized Student Information System (SIS). The student’s academic record may also be released to the College’s Electronic Data Interchange (EDI) trading partners.

How do I “crash” a closed class?
________________________________________________________________________
When the maximum number of students allowable in a particular class section has been reached and a student has special circumstances that warrant consideration for approval to enroll in the class section, permission of the academic department head is required. Usually, permission is not granted when special labs, equipment, classroom size, etc., are determining factors. The appropriate form indicating the Department Chair’s permission must be submitted to Admissions, Records and Recruitment Office.

How much do transcripts cost?

There is no fee to process transcripts.


How do I find out how much books and materials cost?
________________________________________________________________________
The price of books, supplies and materials may be obtained from the College’s bookstore.

When are classes in session?
________________________________________________________________________
Southwest operates on an early semester calendar system. The Fall Semester begins late August and ends mid-December. The Spring Semester begins mid-January and ends mid-May. Each semester is approximately 15 weeks long. The Summer Semester, which is fast tracked, is comprised of two sessions, approximately five weeks in length. The Extended Summer term is approximately 10 weeks. The Academic Calendar is published in the front of the college catalog and by term in the Schedule of Classes each semester.


How do I register for classes?

Students must take these steps to register:

Students who apply for admission late (less than a month prior to regular registration) and have not received admission letters should contact the Admissions, Records and Recruitment Office for registration instructions. Some students may be allowed to register for one term without having all admission requirements met. The student’s registration for future terms will be placed on hold until the admissions file is complete. Required documentation must be on file for those receiving Veteran’s benefits and federal financial aid.

How can I get a class schedule?

Students may either pick up a class schedule from the Office of Admissions and Records or by accessing the college’s web-based registration system at www.southwest.tn.edu.

Where to buy textbooks?
________________________________________________________________________
Textbooks may be purchased in the college’s bookstores located in Building C on the Union Campus and the Farris Building on the Macon Campus.


Where can I get a parking permit?
________________________________________________________________________
The parking permit can be obtained in the campus police office located in the Parrish building first floor on Union and Farris building at Macon. The parking permit is valid for one semester. Hang the parking drop tags to front rear view mirror. Always use designated student-parking spaces.

How can I pay my bill?
________________________________________________________________________
Maintenance and other applicable fees are payable at registration each semester via the Web or in the Bursar’s Office. Fees maybe paid by cash, check, or credit card (VISA, MasterCard or Discover Card). Students who have not met their financial obligations will not be admitted to class. If student’s fees are to be paid by someone other than themselves (vocational rehabilitation, private scholarship, employer, etc.) arrangements should be made with the Bursar’s Office before registration.

Southwest offers deferred payment to eligible students. The deferred payment plan will allow students to make an initial payment of one-half their fees when they enroll and defer the balance due until later in the semester. To be eligible, students must enroll in six credit hours or more. Students will be required to pay 50 percent of eligible charges (which include maintenance, tuition, technology access, campus access and student activity fees) plus any other fees due, such as application and late registration fees, at the time of registration. The balance of the charges can be paid in two equal installments on pre-established due dates during the term.

A student must be in good academic standing at the College, sign a deferred payment contract and pay a $10 non-refundable service fee to participate in the program.

What is my Personal Identification (PIN) number?

When the admissions process has been completed and all data is entered into the system, a PIN number is automatically assigned to each student. A PIN is required to access Student Self-Service and TRAVIS.


Transferring grades to another college?

What is a transcript?
________________________________________________________________________
The transcript is the permanent record of a student. The record consists of: student name, social security number or student identification number, courses enrolled each term, cumulative quality point average (QPA), term QPA, hours attempted, hours earned, grades, quality point earned, degrees and certificates earned, academic program(s), honors, academic status, and transfer credit. The permanent record will be maintained on-line and will be available on-campus in the Admissions, Records and Recruitment Office as well as stored on disc at various locations. Online processes are backed up nightly.


How do I obtain a college catalog?

The College catalog is available online at www.southwest.tn.edu/catalog. Students may pick up college catalogs from the Admissions, Records and Recruitment Office or one can be mailed to students upon their request.
