Southwest offers students the Southwest Refund Card, issued by Comdata and also known as the Comdata Debit Card, as a safe and convenient option of receiving all financial aid refunds. The Southwest Refund Card is MasterCard branded which means it is accepted at over 2,000,000 merchants.
To receive a Southwest Refund Card visit the Cashier's Office [Macon Cove or Union Avenue Campuses] and complete a Comdata Authorization form.
Once you receive the Southwest Refund Card contact Comdata Customer Service by using the toll-free number 888-265-8228 to:
- activate the card
- reset your personal identification number (PIN)
- verify your card balance
Always verify your balance prior to using the Southwest Refund Card by calling the toll-free number or visiting the Comdata Cardholder Services website. This will allow you to avoid any fees related to declined transactions.
- report your card lost or stolen
A block will be placed on your card immediately.
- order a replacement card
The Southwest Refund Card may be used at any location that accepts MasterCard. Remember to always select CREDIT when using the Southwest Refund Card to prevent any fees from being deducted from the balance.
Use a SunTrust or MasterCard associated bank when obtaining cash to prevent fees from being deducted from the balance. If the balance is less than $25 it can be obtained from an Automated Teller Machine (ATM). However, a fee will be assessed by the bank providing the ATM service.
Southwest Refund Cards that have a balance less than $25 can be used anywhere MasterCard is accepted.

Southwest Refund Card balance inquiries on cards with a balance of less than $25 can be obtained from an ATM. However, a fee will be assessed by the bank providing the ATM service.
The following fees will be deducted from your Southwest Refund Card balance for each transaction:

ATM owners outside of Comdata's surcharge free ATM network and other places where you can use your Southwest Refund Card may charge fees (even for a balance inquiry without completing a funds transfer) that will be deducted from your balance.
If you use your Southwest Refund Card outside of the United States (U.S.), or if you obtain funds (or make a purchase) in a currency other than U.S. dollars (the currency in which your card is issued), then the amount deducted from your funds will be converted into U.S. dollars by the card network. The card network will charge a cross-border fee of .8 percent and currency conversion fee of .2 percent (for a total fee of 1 percent of the transaction account) to be included in the transaction amount. This card network cross-border and currency conversion charge is independent of and in addition to any international fee indicated in the Comdata fees shown in the Fees (International Usage Only) table.

Remember to register free at the Comdata Cardholder Services website to review all card transactions online.
Check your account via My.Southwest Online Services to see if you have a "Grant Refund" posted. Refunds will be processed daily beginning the date posted on the Southwest website for refunds each semester.
Refunds will appear on your Southwest Refund Card within a 24 to 48 hour period once a "Grant Refund" is posted to your account.
